Working pattern: This is a full-time post however we are happy to talk about flexible working. We’re committed to supporting staff to achieve a healthy work-life balance. This is a hybrid role, working from Holyrood over Tuesdays to Thursdays during term time, and from home.
This is an excellent opportunity to join the Chief Executive’s Office as the Assistant Private Secretary to both the Clerk/Chief Executive and the Deputy Chief Executive.

The Chief Executive’s Office works at the centre of the Parliament, directly supporting the work of the Clerk/Chief Executive in leading the organisation across the full range of his responsibilities. The office provides a full secretariat and support service to both the Scottish Parliamentary Corporate Body (SPCB) and the Senior Executive Team (SET), as well as liaising with parliamentary officeholders and centrally managing and co-ordinating a range of cross-cutting activities.  

The Office is made up of around seven staff. As Assistant Private Secretary you will be responsible for providing a proactive support service to enable the Clerk/Chief Executive and Deputy Chief Executive to fulfil their roles. This will include proactive diary management, correspondence and meeting organisation and support, as well as supporting the handling of confidential, novel and contentious issues.

This is a rare opportunity to work at the very heart of the Parliament. You’ll work with the two most senior people in the organisation on a daily basis. The work will be fast-paced at times, but also rewarding and you’ll get to collaborate and work with colleagues from all offices in the Parliament and more widely in the public sector.

This is a unique role in the Parliament, so we will ensure a thorough handover with the current postholder. Further support and guidance will be provided both internally and with peers in other organisations to ensure a successful transition into the role.

About You

The successful candidate will have well-developed organisational skills, be experienced in operating in a fast paced environment, and in managing conflicting priorities. You’ll also have excellent attention to detail and good judgement to support decision making and ensure that the highest standards of confidentiality are maintained.

You’ll also be able to constructively engage with and challenge colleagues at all levels and a flexible, adaptable approach to work.

You’ll demonstrate a high level of personal credibility with excellent communication and influencing skills, with the ability to develop and maintain positive working relationships.

The Selection Process

Stage 1

  • Please provide evidence against each of our four values, a maximum of 400 words is allowed per value

  • Each value should be clearly formatted, and your examples may include specific skills, experience, abilities, knowledge and strengths you have.

Stage 2

At the final stage, you’ll be invited to attend an in person panel interview. Interviews will be held on Thursday, 7 November although this is subject to change.
