About The Role

Tess White, MSP, is seeking to appoint a highly motivated, capable, discreet and confidential person as an Office Manager in her Parliamentary and Regional Offices.  
Location: Edinburgh
Hours: Full-time; 37 hours
Salary: £31,206-£36,266 (pro rata) depending on skills and abilities

Working for a Member of the Scottish Parliament (MSP)

MSPs are employers in their own right. Under their employment, you will become part of a team supporting them in carrying out their duties. You'll work in a dynamic and fast paced environment to provide an outstanding service for constituents.

To succeed in this role you must bring gravitas, know-how and an ability to perform effectively in support of a Member of the Scottish Parliament who will combine her constituency and parliamentary responsibilities with her role as party spokesperson for just transition, employment and fair work.

Whatever your employment background, as well as demonstrating your experience to meet the essential requirements for the role, you should be able to evidence your ability to work effectively as a member of a team of all-rounders who will work together to ensure that the MSP’s aims are advanced.

These are busy and high-profile roles so your aptitude to work under pressure is key as is your ability to represent the MSP at meetings in the Region and Parliament, as required.

Of equal importance is your understanding of and empathy with the needs of constituents and a demonstrable commitment to work at all times to promote a diverse and inclusive culture in the MSP’s offices.


  • Acting in a supervisory capacity for the team and oversight of office maintenance
    • Managing office budget in line with Members Expenses Scheme, Allowances Office and People and Culture Office
    • Managing constituency accounts, premises and equipment
    • Managing staff and reviewing their performance
    • Overseeing health and safety and staff wellbeing
    • Acting as a support to me as (Committee Convener, Party Spokesperson or Business Manager)
  • Organising diary commitments and preparing for all activities
    • Arranging surgeries, meetings and travel
    • Arranging briefing papers and speeches
    • Communicating with parliamentary officials
    • Representing on my behalf as and when required
  • Carrying out general office administration and acting as front of office for enquiries
    • Responding to all incoming correspondence while professionally managing each enquiry within agreed timescales
    • Coordinating, tracking and monitoring the handling of enquiries and ensuring they are dealt with timely and professionally
    • Drafting written correspondence such as letters, requests for information and parliamentary questions and motions
  • Following all media outlets to capture relevant developments as they happen
    • Maintaining information systems to support communications
    • Maintaining and growing social media presence
    • Drafting and posting social media content to update constituents on my parliamentary activities
    • Reviewing social media trends and briefing me on issues of relevance to my parliamentary role
  • Producing materials that effectively convey my aims to the general public and media
    • Keeping up to date with current media developments
    • Building and maintaining relationships with stakeholders
    • Corresponding with constituents and local campaign groups
    • Producing high quality press briefings, speeches, presentations and written materials, such as annual report and newsletters
  • Maintaining office records and compliance with data protection
    • Maintaining filing system and managing records
    • Ensuring compliance with data protection legislation and GDPR requirements
    • Ensuring administrative and secretarial support is provided

About You


You will:
  • Have excellent written, verbal and IT skills with accurate attention to detail
  • Have experience of managing staff with the ability to nurture and build effective teams
  • Be empathetic with the ability to build and maintain relationships with a variety of stakeholders
  • Be confident in managing budgets for staff resources and office provisions
  • Have a flexible and adaptable approach, being able to use good judgement and work on own initiative
  • Be well organised with the ability to prioritise competing workloads
  • Be creative in designing and communicating over a range of formats on different media platforms
  • Have flexibility using relevant IT skills and writing styles, covering both traditional and newer forms of media
  • Be capable in monitoring media developments and sourcing information from a range of channels
